You are in. Your 10 emails are on the way.

Check your inbox. The email has your download link. If it does not show up, look in spam or promotions.

Do this first

Open the file and skim all ten emails and their Director's Notes. Ten minutes is plenty.

Pick your gala date and count back eight weeks. That is the day Email 1 goes out.

Block one to two hours this week to fill in the brackets and schedule all ten.

Block one to two hours this week to fill in the brackets and schedule all ten.

Before you fill in the brackets

  • The beneficiary story runs across Emails 3 and 6, and finishes in the room. Do not resolve it early.
  • Never lead with the ask. That job belongs to the night itself, live in the room.
  • Keep Email 9 clean and short. It exists for logistics.
  • Let Email 10 feel like a note, not a broadcast. Resist the urge to add more.

Schedule it right

  • Send Emails 1 through 7 on the same day of the week at the same time, starting eight weeks out. Your list learns when to expect you.
  • Emails 8, 9, and 10 are tied to the clock: 72 hours out, 48 hours out, and the morning of the event.
  • Your ticket, auction, and logistics emails still go out. This series is the backbone that keeps your donors in the right frame of mind between them.
